Financial Matters:

Funds are allocated each year in the respective departmental operating budgets for general janitorial supplies. The contract term is for three (3) years, with an option to extend the contract for two (2) additional one (1) year terms. Pricing is guaranteed for the first three years of the contract, with increases or decreases requiring substantiation through the manufacturer that any change is a direct cost increase to the vendor.

Over the past year based on the "basket of goods" pricing sample the City paid approximately $500,000 in janitorial supplies. The City is expecting to receive some cost savings from the successful proponents relative to that "basket of goods" pricing samples. The savings are contingent on the proper use of the products. Specifically, use of chemicals, their dilution ratios and over consumption.

Sufficient funding currently exists within the Operating Budget for janitorial supplies that would be purchased in conjunction with the contract awards recommended in this report.
