3. BUSINESS ARISING FROM THE MINUTES

D. Sanborn and the Board members Welcome Robert Jasey to the meeting. R. Jasey was appointed to the Board of Directors, Willistead Manor Inc. at the October 10, 2019 meeting, however, until Windsor City Council approves the Committee report, R. Jasey is unable to vote on any items.

D. Sanborn reports that at the October 10th, 2019 meeting of the Board of Directors, the members unanimously agreed that the Historical Exhibit should be one of the main focuses of the Board moving forward. D. Sanborn informs that C. Masterson, Manger of Cultural Affairs, is currently developing the list of work to be completed and a list of local curators who could do the work so that she can proceed and request quotes. Once a Curator is selected, the work would be done behind the scenes and would include cost analysis, potential exhibit design, layout and a review of artifacts. Moving forward, the Board of Directors can decide whether to do the work as a team or hire a contractor to complete the project. A suggestion is made to consider audio guide technology, for both the new Historical Exhibit as well as the walking tour.

The Board members are asked to review the current Standing Committee structure, before the next meeting of the Board and give some thought to where they think their skills would be more valuable. 

A discussion ensues regarding the Board's ability to advertise events on Social Media, including Facebook and Twitter, as well as the addition of display cases to display event posters. The Members ask that more detailed information about the City of Windsor's Social Media Policy is provided at the next meeting of the Board of Directors.

4. CHAIRPERSON'S REPORT

D. Sanborn informs the Committee members that the annual Mayor's Reception will take place on Sunday, January 26, 2020 from 2:00 o'clock pm until 4:00 o'clock pm.

D. Sanborn further informs the Board members that he has prepared a fundraising letter to be sent out to the Manor Club members and previous donors. The members review the letter and suggest that copies also be left at the Manor during the Holiday Tours in the event that visitors choose to donate.

Moved by C. Gaudette, seconded by R. Gauthier, That the Willistead Manor annual fundraising letter BE PREPARED to include an incentive consisting of a draw for a dinner for six at Willistead Manor to an upset limit of $400.00, for donors of $100 or more; and,

That the costs of envelopes and postage as well as the cost of the dinner for six, BE FUNDED by the Willistead Manor Inc. Operating Account. Carried.
